Position Title: Administrative Clerk

Location: Baytown, TX

POSITION SUMMARY

As an administrator, you will be responsible for helping the smooth running of the business by ensuring filing and documentation is kept up to date. Duties include day-to-day duties of a production administrator usually involve a lot of administrative tasks.

The job role of an administrator involves the following duties:  

KEY ACCOUNTABILITIES

  • Dealing with queries on the phone and by email
  • Taking minutes at meetings
  • Manage data in spreadsheets and reports
  • Ordering office supplies
  • Maintain internal databases
  • Submit expense reports
  • Keep records and reports up to date (physical and digital)
  • Distribute incoming and outgoing mail
  • Prepare regular reports
  • Organize, store and print/photocopy documents as needed
  • Cover reception when needed; answering phone and greeting visitors
  • Handle queries from supervisors and management
  • Print work order and Job cards
  • Check and approve employee hours on daily basis.
  • Support supervisors on other task.
  • Manage data in spreadsheets and reports
  • Help maintain the budget plan
  • Other duties as a signed.

KNOWLEDGE/SKILLS/COMPETENCIES

  • High School/GED equivalent required.
  • 1+ years of work experience in a speed manufacturing environment required.
  • 1+ years of work experience in a Production Administrator
  • Experience as an Administrator, Administrative Assistant or relevant role

Required/ Preferred Education, Experience & Certification:

  • Strong employee relations, interpersonal and verbal/written communication skills
  • Must be able to read, write and speak English fluently
  • Demonstrated computer proficiency skills: Word, Excel and Microsoft Office
  • Experience in Manufacturing ERP system preferred.
  • Demonstrated ability to function successfully in a fast-paced, changing work environment.
  • Familiarity with office equipment, including printers and fax machines
  • Knowledge of office policies and procedures
  • Experience with office management tools (MS Office software, in particular)
  • Excellent organizational and time-management skills
  • Strong written and oral communication skills
  • Problem-solving attitude with an eye for detail

PHYSICAL REQUIREMENTS

  • Stand for long periods of time.
  • Must be able to lift to 50 lbs.
  • Must have full mobility in bending and squatting.
  • Must be able to stand or walk on feet for long periods of time.
  • Must be able to climb a ladder or harness system up to 4 feet high.

CONDITIONS

  • Manufacturing floor, confined space, and exposure to dust and fumes related to the industry well within safety standards. Exposed to changing and inclement weather conditions. 

SAFETY REQUIREMENTS

  • Report safety hazards.
  • Immediately report incidents involving illness, injury or property damage.
  • Wear appropriate PPE as instructed.
  • Comply with all safety policies, procedures and rules.
  • Refuse any unsafe tasks or operation.
  • Participation in safety meetings and training.
  • Keep constant awareness of their personal safety and that of coworkers.
  • Awareness of occupational hazards.
  • Hazardous material knowledge.
  • Comfortable in confined space 15 inch inside diameter to size of tank entry.
  • Participation in safety meetings and training.
  • Be aware of personal safety as well as that of team members to promote a safe work environment.

POSITION TYPE AND EXPECTED HOURS OF WORK

This is a full-time position. Basic work schedule is Monday through Friday 8:00 a.m. to 5:00 p.m. Employee must adapt to schedule changes as required due to business needs. This position could require weekends, nightshift, rotating schedules, holidays, and on-call.

Travel

No regular travel is expected for this position.

Work Authorization

Eligibility to work in the U.S. with the appropriate work authorization documentation.
